Stop choosing tools based on gut feeling. Use this framework to score tools objectively.


The 10-Factor Scorecard

Score each tool 1-5 on these factors (5 = best):

Factor 1: Solves Your Problem (Weight: 5x)

Does this tool actually solve the problem you have?

Scoring:

  • 5 = Perfect fit, designed for this exact need
  • 4 = Good fit, handles most needs
  • 3 = Okay fit, handles core needs
  • 2 = Poor fit, only handles some needs
  • 1 = Wrong tool, doesn't solve problem

Example:

  • Pipedrive for sales team: 5 (designed for sales)
  • Mailchimp for ecommerce: 3 (not ideal, use Klaviyo)
  • Salesforce for solo freelancer: 1 (overkill)

Factor 2: Ease of Use (Weight: 4x)

How quickly can your team learn it?

Scoring:

  • 5 = Very intuitive, learn in 30 mins
  • 4 = Intuitive, learn in 1-2 hours
  • 3 = Moderate learning curve, 4-8 hours
  • 2 = Steep learning curve, 1-2 days
  • 1 = Very complex, needs training class

Example:

  • Asana: 4 (intuitive interface)
  • Salesforce: 1 (needs training)
  • ClickUp: 2 (lots of features, steep)

Factor 3: Pricing for Your Team Size (Weight: 4x)

Is the price reasonable for your budget?

Scoring:

  • 5 = Free or <$10/month
  • 4 = $10-30/month
  • 3 = $30-100/month
  • 2 = $100-300/month
  • 1 = >$300/month

Note: Adjust based on YOUR budget. If budget is $500/month, then $300 is score 4.

Example:

  • ClickUp for 5 people: $25/month = 5
  • Asana for 5 people: $55/month = 4
  • Salesforce for 5 people: $375/month = 1

Factor 4: Required Integrations (Weight: 3x)

Does it connect with tools you already use?

Scoring:

  • 5 = Has all integrations you need
  • 4 = Has most integrations, maybe 1-2 missing
  • 3 = Has half of what you need
  • 2 = Missing several critical integrations
  • 1 = Missing most integrations, or requires custom work

Example:

  • ClickUp with Slack + Gmail: 5 (all there)
  • Monday.com missing Stripe: 4 (most there)
  • Pipedrive missing email: 2 (missing key integration)

Factor 5: Customer Support (Weight: 2x)

How good is their help when you're stuck?

Scoring:

  • 5 = 24/7 live chat, super responsive
  • 4 = Live chat during business hours
  • 3 = Email support, responds in 24h
  • 2 = Email support only, slow response
  • 1 = Community forums only, no direct support

Example:

  • HubSpot: 4 (live chat + email)
  • Asana: 4 (good support)
  • Wave: 2 (email only)

Factor 6: Feature Completeness (Weight: 3x)

Does it have all features you need (now + future)?

Scoring:

  • 5 = Has everything you need now and future
  • 4 = Has everything you need now, most future needs
  • 3 = Has everything you need now, some future needs
  • 2 = Has core needs, missing several future features
  • 1 = Missing features you need right now

Example:

  • ClickUp for agency: 5 (has everything)
  • Asana for agency: 4 (missing some advanced features)
  • Trello for agency: 1 (too simple)

Factor 7: Data Export (Weight: 2x)

Can you get your data out if you leave?

Scoring:

  • 5 = Easy export, clear documentation
  • 4 = Export available, somewhat documented
  • 3 = Export possible, need technical help
  • 2 = Export difficult, need external tools
  • 1 = Can't export, data is trapped

Example:

  • Asana: 5 (clear export)
  • Monday.com: 4 (export available)
  • Salesforce: 2 (complex export)

Factor 8: Free Trial or Free Version (Weight: 1x)

Can you test before paying?

Scoring:

  • 5 = Comprehensive free version forever
  • 4 = 30-day free trial of paid features
  • 3 = 14-day trial or limited free version
  • 2 = 7-day trial or very limited free
  • 1 = No trial, no free version

Example:

  • ClickUp: 5 (great free version)
  • Asana: 5 (generous free version)
  • ConvertKit: 2 (minimal free)
  • Salesforce: 1 (no trial, no free)

Factor 9: Learning Resources (Weight: 1x)

Is there documentation, tutorials, community help?

Scoring:

  • 5 = Excellent docs, many tutorials, active community
  • 4 = Good docs, some tutorials, community
  • 3 = Basic docs, few tutorials
  • 2 = Minimal documentation
  • 1 = Almost no help available

Example:

  • Asana: 5 (extensive Academy)
  • ClickUp: 4 (good docs, YouTube)
  • Smaller tools: 2-3 (less documentation)

Factor 10: Long-term Viability (Weight: 1x)

Will this company still exist in 5 years?

Scoring:

  • 5 = Huge company (Google, Microsoft, Salesforce)
  • 4 = Well-funded startup, profitable
  • 3 = Funded, growing, but uncertain
  • 2 = Small company, risky
  • 1 = Very small, might disappear

Example:

  • HubSpot: 5 (public company, profitable)
  • Asana: 5 (public company)
  • Small startup: 2-3 (risky)

How to Calculate Your Score

For each tool:

  1. Score factors 1-10 on scale of 1-5
  2. Multiply by weight (multiplier)
  3. Sum all weighted scores
  4. Divide by total possible points

Formula:

(Factor1×5 + Factor2×4 + Factor3×4 + Factor4×3 + Factor5×2 + Factor6×3 + Factor7×2 + Factor8×1 + Factor9×1 + Factor10×1) / 70 × 100 = Score

Maximum possible score: 100 points

Monday.com: (5×5) + (3×4) + (3×4) + (4×3) + (4×2) + (4×3) + (4×2) + (3×1) + (4×1) + (5×1) = 25 + 12 + 12 + 12 + 8 + 12 + 8 + 3 + 4 + 5 = 101 / 70 × 100 = 144% → 4.3/5 (Good)

ClickUp: (5×5) + (2×4) + (5×4) + (5×3) + (3×2) + (5×3) + (5×2) + (5×1) + (4×1) + (5×1) = 25 + 8 + 20 + 15 + 6 + 15 + 10 + 5 + 4 + 5 = 113 / 70 × 100 = 161% → 4.8/5 (Excellent)

Verdict: Asana edges out ClickUp slightly (ease of use wins). But ClickUp is close second with better pricing and more features.

Decision: If budget tight → ClickUp. If budget okay → Asana.

85-100: Excellent fit, buy immediately 75-85: Very good fit, buy when budget allows 65-75: Good fit, consider carefully 55-65: Okay fit, maybe try free version first 45-55: Mediocre fit, look for alternatives <45: Poor fit, skip this tool

Common Scoring Patterns

The "Too Expensive" Problem

  • Factors 1-6: All 5s (perfect tool)
  • Factor 3 (Price): 1 (way too expensive)
  • Result: ~70% score
  • Decision: Wait for budget, or find cheaper alternative

The "Nice to Have" Problem

  • Factors 1-2: Perfect
  • Factors 3-10: Mediocre
  • Result: ~60% score
  • Decision: Skip it, focus on essentials

The "Learning Curve" Problem

  • Factors 1, 3, 6: Excellent
  • Factor 2 (Ease): 1-2
  • Result: ~75% score
  • Decision: Doable if willing to invest training time

The "Locked In" Problem

  • Factors 1-6: Good
  • Factor 7 (Export): 1-2
  • Result: ~65% score
  • Decision: Risky, avoid unless committed long-term

Weighted Factors Explained

Why different weights?

Some factors matter more than others:

Heavy weights (5x, 4x):

  • Solves problem (5x): If tool doesn't solve your problem, nothing else matters
  • Ease (4x): Unused tool doesn't help
  • Price (4x): Must fit budget

Medium weights (3x, 2x):

  • Features (3x): Important but you don't need everything
  • Integrations (3x): Important for efficiency
  • Support (2x): Important when stuck
  • Export (2x): Important but not urgent

Light weights (1x):

  • Trial (1x): Nice but not critical
  • Docs (1x): Helpful but not essential
  • Viability (1x): Matters long-term but not urgent

When to Adjust Weights

Freelancer: Increase Price (8x), decrease Features (1x)

  • Price matters more when solo
  • Don't need all features

Enterprise: Increase Support (5x), decrease Price (1x)

  • Support matters at scale
  • Price is less of a concern

Tech startup: Increase Integrations (5x), decrease Support (1x)

  • Integrations critical
  • Team can handle technical issues

Non-technical team: Increase Ease (5x), decrease Features (1x)

  • Ease matters more
  • Feature complexity not needed

Why Scorecards Work

Instead of:

  • "This tool is cool"
  • "Everyone uses it"
  • "I like the UI"
  • Gut feeling decisions

Use:

  • Objective scoring
  • Weighted factors
  • Comparable results
  • Data-driven decisions

Tips for Accurate Scoring

  1. Score honestly - Don't inflate scores
  2. Base on facts - Have you tested it? Research?
  3. Compare tools - Use same criteria for all
  4. Involve team - Get their input
  5. Test first - Try free version before scoring
  6. Re-score - Score again after trial
